Printer Cost Management

The Printer Cost Management Program is provided through a cost-per-copy model. This model incorporates all maintenance/service, labor, parts (maintenance kits, fusers, rollers, etc), toner cartridges, monthly reports and help-desk support.

  • The Printer Cost Management Program is a part of the Board of Trustees cost savings initiatives. This supports the enterprise-wide purchasing strategy to leverage volume buying power.
  • Estimated savings of 15-25% by simply letting UniPrint maintain your printers without replacing equipment.
  • Right-size the printer environment through asset optimization to achieve a more cost-effective user-to-device ratio (10:1 or better). This enables departments to make fact-based printer management decisions so that immediate savings are realized.

How does the program work?

  • UniPrint conducts a baseline analysis of the departmental site to determine the size of the printer fleet and approximate usage, thus determining the program costs.
  • UniPrint maintains measures and controls the costs of network and desktop printing.
  • Service hours- 8:00am-5:00pm EST/Monday-Friday (except national holidays). Three hour average response time for non-toner and toner service calls.
  • Toner cartridges- all toner cartridges are included in the program. Used toner cartridges are always recycled.
  • Maintenance- break-fix and preventive maintenance are included.
  • Service call avoidance- UniPrint uses OEM guidelines for preventive maintenance.
  • Reporting- this includes the volume of printed pages, the serial number, the item/asset number, maintenance history and the location of the printer.
  • Billing- significant soft-cost savings is realized through internal billing processes. Also, backup paperwork needed for SOX compliance will be made available online.

What are the department responsibilities?
